HuntDocs ("we," "our," or "us"), operated by Worksprings, LLC (doing business as "HuntDocs"), provides a business management platform for hunting outfitters and their clients. We value your privacy and are committed to protecting your personal data in compliance with applicable privacy regulations, including the California Consumer Privacy Act (CCPA) and other relevant laws.

1. Information We Collect

We collect different types of information depending on how you interact with the platform.

A. From Hunters and Trip Participants

When an outfitter adds you to a trip or you complete forms through the platform, we may collect:

Identity and contact information
Government-issued identification details, where required by law or regulation
Travel and trip logistics information
Health and safety information relevant to trip participation
Regulatory and compliance information required by applicable hunting or wildlife authorities
Documents, images, and electronic signatures you provide
Communication preferences

B. From Outfitters and Staff

When outfitters and their staff use the platform, we may collect:

Business and personal contact information
Professional credentials and licensing information
Uploaded documents relevant to their operations

C. From Prospective Clients (Leads)

When a prospective client submits an inquiry through an outfitter's website contact form or through a Facebook Lead Ad connected to HuntDocs, we receive the information they provide. This typically includes contact information and may include responses to questions configured by the outfitter. This data is stored as a contact record within the outfitter's HuntDocs account. The outfitter is responsible for ensuring that their lead capture forms include appropriate disclosures and comply with applicable privacy laws and platform terms.

D. From All Users

Account credentials, stored in encrypted form
Payment information, tokenized and processed by our payment provider
Platform usage and interaction data

2. How We Use Your Information

We use the information we collect to:

Operate the platform and deliver services to outfitters and their clients
Manage bookings, trip logistics, and scheduling
Process payments, invoices, deposits, and refunds
Prepare, deliver, and store documents and electronic signatures
Send transactional communications such as booking confirmations, payment receipts, and trip reminders
Send marketing communications to contacts who have opted in
Receive and process prospective client inquiries from contact forms and connected lead generation platforms
Synchronize data with outfitter-connected accounting and business tools
Maintain platform security and prevent fraud
Comply with legal and regulatory obligations

3. Legal Basis for Processing

We process personal data under one or more of the following bases:

Contractual Necessity: Processing necessary to fulfill our service agreements.
Consent: Where required, we obtain explicit consent before processing. This includes consent for marketing communications and, where applicable, for processing sensitive personal data. You may withdraw consent at any time.
Legal Obligation: Processing required to comply with applicable laws, regulations, or legal processes.
Legitimate Interest: Processing based on our legitimate interests, such as platform security, fraud prevention, and service improvement, balanced against your rights and freedoms.

4. Data Sharing

We share personal data with service providers solely as necessary to operate the platform and deliver services. These providers fall into the following categories:

Cloud hosting and infrastructure providers
Email and SMS communication providers
Payment processing providers
Accounting and financial integration providers, when connected by the outfitter
Lead generation platforms, when connected by the outfitter

We do not sell your personal data. We do not share your data with third parties for their own marketing purposes.

5. SMS and Email Marketing

Outfitters may use HuntDocs to send marketing and informational emails and SMS/MMS messages to contacts who have provided consent. When you opt in through a contact form, lead ad, or other mechanism, you agree to receive messages from the outfitter via HuntDocs (a service of Worksprings, LLC). Messages may include responses to inquiries, follow-up messages, information about hunts, booking and trip details, reminders, promotions, and related updates.

Message frequency varies. Standard message and data rates may apply. For help, reply HELP. You may opt out at any time by replying STOP to any SMS message, clicking the unsubscribe link in any marketing email, or contacting the outfitter or HuntDocs directly. Opting out of marketing messages does not affect transactional messages related to active bookings.

We do not sell or share your mobile phone number or your text-messaging consent with any third parties or affiliates for their own marketing or promotional purposes. Mobile information collected for SMS is used only to deliver the messages described above and is shared only with the communication providers needed to send them.

6. Data Retention

We retain personal data for as long as an outfitter's account is active or as needed to provide services. Payment and financial records are retained as required by applicable tax and regulatory requirements. Signed documents are retained for the legally required period or the duration of the outfitter's account, whichever is longer.

Upon receiving a valid deletion request, we will delete or anonymize the requested data within 30 days, unless retention is required by law.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

Access — request a copy of the personal data we hold about you
Correction — request correction of inaccurate or incomplete data
Deletion — request deletion of your data, subject to legal retention requirements
Data Portability — request an export of your data in a commonly used format
Withdraw Consent — withdraw previously given consent at any time
Opt Out of Sale — under the CCPA, you have the right to opt out of the sale of personal data. We do not sell personal data
Non-Discrimination — we will not discriminate against you for exercising any of your privacy rights

8. Cookies and Tracking

We use only essential cookies required for platform operation, including session cookies and consent preference cookies. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. We do not engage in cross-site tracking or behavioral advertising.

9. Children's Data

HuntDocs is not intended for use by children under the age of 16. We do not knowingly collect personal data from children under 16. If you believe a child under 16 has submitted personal data through our platform, please contact us and we will promptly delete it.

Where a minor is a participant in a hunting trip, the outfitter is responsible for obtaining parental or guardian consent before submitting the minor's information. Our platform includes a guardian consent workflow for this purpose.

10. International Data Transfers

HuntDocs is hosted in the United States. If you are located outside the United States, your personal data will be transferred to and processed in the United States. We maintain appropriate safeguards for international data transfers as required by applicable law.

11. Automated Decision-Making

We do not engage in automated decision-making or profiling that produces legal or similarly significant effects on individuals.

12. Security

We implement industry-standard technical and organizational measures to protect your personal data, including encryption in transit and at rest, access controls, multi-tenant data isolation, and secure file storage. No method of transmission or storage is completely secure. If you believe your account has been compromised, contact us immediately at support@myhuntdocs.com.

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this policy and notify affected users via email or through the platform.
